Who we are
PlayerBase, Denmark (CVR to be added), is the data controller for the personal data described here.
What we collect and why
- Restock and newsletter sign-ups: your email address and which product you asked about, so we can email you. Legal basis: your consent. You can withdraw it at any time by replying to any email or contacting us, and we delete your address.
- Traders club: if you join, we store your trader name, first name and last initial, birth year, Play! Pokémon Player ID (optional), team, email, and your password and PIN (only as secure hashes, never readable). For members aged 13 and under we also store the parent or guardian’s name; the parent’s email is the account email. We record which meets you came to, your points, your votes and the member deals you used. We use this to run the club and to report attendance at Play! Pokémon events to The Pokémon Company, which asks for first name, last initial, Player ID and birth year. Legal basis: our agreement with you when you join (for members aged 13 and under, the parent’s consent). Other members only see your trader name, team, rank and points. You can change your details in Settings, and deleting your account erases your personal details; your points stay with your team anonymously. Photos and videos from meets are only posted of members who said yes, and you can change that at any time.
- Pokify me (Trader Card portraits): if you upload a photo, you confirm you’re 18 or older or that a parent or guardian said yes. The photo is sent to Google’s image AI (Google Flow) to make your card picture. It’s deleted from our computer as soon as the picture is made (or the attempt fails), and we never keep it. We keep only the finished picture: privately until your card is printed, then on your Trader Card and public profile. If Google can’t use your photo, you can upload a picture you made yourself (for example with ChatGPT or Gemini); we keep that picture the same way. Google keeps a copy of the photo and the picture in our Flow account, which we clear out regularly. You can delete your picture at any time, and deleting your account deletes it too.
- Orders (when the shop opens): name, address, email and phone to deliver your order and meet bookkeeping law. Kept for 5 years as required by the Danish Bookkeeping Act.
Cookies and storage
We don’t use tracking or advertising cookies. If you log in to the Traders club, one cookie keeps you logged in. Your cart, wishlist and game progress are stored only in your own browser (local storage) and never sent to us. Fonts are hosted on our own server.
Your rights
You can ask to see, correct or delete your data, or object to how we use it. You can also complain to the Danish Data Protection Agency (Datatilsynet).
